SenseFlow is Retro Rabbit’s internal timesheet recording software meant for employees. I was a solo designer on the project from May to June, and was later joined by 2 other designers as the scope of the project grew. With SenseFlow, employees can track their time, seniors can manage their teams and client account managers can view utilisation and how productive employees are on a day to day basis.

OVERVIEW

The Problem

SenseFlow needed several enhancements, updates, bug fixes and new proposed features. I was also tasked with designing the mentoring platform into SenseFlow which would be an easy way for employees to track their goals, objectives and meetings with their mentors and mentees.


The goal of this project was to add new features and improve the user experience and interface for Retro Rabbit’s employees. SenseFlow was an internal project which required an almost informal design process whereby as designers, the developers & product manager would request changes and new features into the platform which required us to evaluate the platform, and then design the requested features. 



This meant that not all ideas and requested made it into production as some went live and some were cancelled.

In theory, design thinking may seem a linear process but in practice it’s a non-linear process, and SenseFlow is a project in which I had the opportunity to stretch my design muscles, grow and learn with the project & manage to deliver satisfying deliverables to the development team.

Mentorship on SenseFlow was a great improvement to the employees of Retro Rabbit as this now meant that they could track their goals, both professional & personal, their meetings with their mentor and the business could see how mentoring relationships progress within the specific timeline.

Final Designs

Calendar integration is another feature that was requested from the design & development team.

Mentoring on SenseFlow is live and has been deployed by the development team. Our next steps to take will include working on the next version of Mentoring which includes implementing layout changes, separating content, adding more colours and designing extra improvements.

Lastly, part of mentoring on SenseFlow included having an admin view for the Business Support team to see which mentorship pairings are visible, have ended or have been cancelled. This part of mentoring was useful to see who can be paired or who already has a mentor/ mentee.

I conducted user testing for the new mentorship features in order to find out whether the designs were usable or how much was still needed to fix them. There had to be minor design changes such as changing icons, switching colours and deciding on different layouts.

Mentoring on SenseFlow

The biggest challenge I faced as a designer on SenseFlow was the mentoring feature. This was a request from the business to incorporate mentorship onto the SenseFlow platform. The mentorship pilot program was created to welcome the 2023 graduates into the company, support their growth and expose them to seniors. The pilot program of mentoring was successful and this made sure that Retro Rabbit could then move onto the next step which was a company wide rollout of mentorship.

On the right is SenseFlow’s landing page. The product owner requested a way of showing leave days when employees log time off. My solution was to add chips on the sidebar indicating all types of leave days.
